A video conferencing system is a combination of audio and video devices used forreal-time communication with simultaneous image and sound transmission, usually in companies. The conference participants communicate with each other regardless of location.
No company can do without meetings and (internal) training sessions. Video conferencing offers many advantages for organising these efficiently:
- Location-independent meetings: You can bring your employees together from all over the world - whether from their home office, office or branch offices. Lower costs for business trips: Your employees stay at their location and attend meetings digitally. This eliminates costs for transport, accommodation, meals and any expenses, for example.
- Working time is utilised more productively: The time that you or your employees would need for travelling to and from meetings can be filled with tasks from your day-to-day business.
- Smaller meeting or office rooms required: You don't need huge meeting rooms to accommodate several employees for one appointment. If some of your employees work at other locations or from home, you can get by with smaller office spaces. You can even save on rent and ancillary costs for electricity, water, etc.
- Digital minutes or recordings possible: You can record meetings, training sessions or presentations on video. Employees who were not present on the day or had to leave the event early can watch the recording again.
- Positioning as an attractive employer: With video conferencing, you can give your employees the opportunity to work from home and be present at important meetings. This promotes work-life balance and makes your employees happier - word gets around!
For a video conference you need
- Video conference camera
- Microphone
- Loudspeaker
- Display device, e.g. display or projector
- good internet connection (so that the image and sound are transmitted without delay)
- Video conferencing software, e.g. Skype, Google Meet, Zoom
If you only have limited space in the meeting room, a compact video conferencing system is a good option. A camera, microphones and speakers are already built into it. This allows you to mount it directly above the display or place it on a sideboard, for example.
Many modern video conferencing systems can be set up in just a few steps. Logitech offers a plug-and-play solution for its products that allows you to simply connect the conference camera or conference system to your end device, e.g. display or laptop, via USB. You do not need to install any additional software.
The optimum number of participants depends on the video conferencing system used. Depending on how well the room coverage can be realised by the camera and the audio system, the optimum number of participants can vary greatly.
For example, the Logitech Rally Bar video conferencing system is suitable for up to 12 participants.
This depends on how extensive a video conferencing system is to be and what functions it offers. As a rule, complex all-in-one solutions for large conference rooms are usually more expensive than compact systems for small meeting rooms. However, you will quickly recoup these costs by saving several business trips.
This depends heavily on how many people are taking part in a video conference. Small huddle rooms and meeting rooms offer correspondingly less space than conference rooms for large gatherings of several dozen participants.
The room size plays an important role in the selection of a suitable video conferencing system. This is because the camera, microphones and speakers of a video conferencing system should cover the entire room if possible. This ensures that every participant is easily recognisable and can be clearly heard.
